After searching, often only some of the returned messages are actually relevant, or several search passes are needed to collect the data you want. The Mail List feature lets you hold messages temporarily in a list, making them easier to organize.
Working with mail lists
Mail list entry point
Click the mail-list icon in the toolbar to open the Mail List (shown below).
Creating, deleting, and renaming mail lists
The system supports up to ten mail lists per user, making it easy to organize and classify messages you have searched up.

Click + to create a new mail list. The cap is 10.

Click the list you want to rename, click, and enter the new name.

Click the dropdown next to the list name and select another list to switch into it.

In Search Results, click the Select list dropdown to switch between lists without leaving the results page.
Mail list features
Inside a mail list, the view looks like this:
- Edit the mail list name.
- Shows the number of messages currently in this on-demand list, how many cannot be read because their mail database has been unmounted, and the total size — useful for estimating how much space an export of these messages would take.
- Export delivers the messages in the mail list, with all the same options described in Mail Export. "List" removes messages from the mail list; "Timezone" changes the display timezone; "Back" returns to the previous page.
- Forward sends the messages in the mail list to a mailbox of the administrator's choice. "List" lets you add or remove messages from the mail list.
- Open the message in a new browser window for reading.
- Click a hyperlink to open a pop-up showing the message content.
- Icon buttons include Show Conversation and Add to / Remove from Mail List.
The default timezone follows the one configured in Advanced Search.
You can also adjust the dates shown in the mail list to a different timezone:
- Click the Timezone button at the top.
- A dialog appears for choosing the timezone.
- Pick the desired timezone and click Save.
- The display timezone is now updated.
Adding messages to a mail list
After entering search criteria, any messages in the search scope that match are shown on the results page. You can switch to the mail list you want and add the relevant messages. There are three ways: click the icon, select multiple, or add all.
Click the icon
- Hover the action column to reveal the
button (red box in the figure below):
- Click the
button. It turns from grey to blue, and the counter next to the Add to list icon on the right side of the toolbar increments.
Select multiple
- Tick the check box in front of each result you want.
- Click the list button above the check boxes and choose Add selected to list.
- The icons turn from grey to blue and the Add to list counter increments.
Add all
- From the toolbar choose List > Add all to list.
- A confirmation dialog asks whether to add the entire result set.
- Click Confirm to add every message to the mail list.
Removing messages from a mail list
There are three ways to remove messages from a mail list — click the icon, select multiple, or remove all — plus a special action called "Clear unmounted."
Click the icon
- Hover the action column to reveal the
button (red box in the figure below):
- Click the
button. It turns from blue to grey and the counter next to Add to list on the right side of the toolbar decrements.
Select multiple
- Inside Mail List, tick the check box in front of the messages.
- Above the check boxes, choose List > Remove from list.
- The action icon turns from blue to grey and the Add to list counter decrements.
Remove all
- From the toolbar's list button, choose Remove all from list.
- A confirmation dialog asks whether to remove every message from the mail list.
- Click Confirm to remove every message.
Clear unmounted
This action is used when a message has been added to a Mail List but its underlying mail database has since been unmounted, so the message can no longer be read while still being recorded in the list. Use this function to remove those orphaned entries.
- Open the mail list and choose List > Clear unmounted.
- After clicking Clear unmounted, the orphaned entries are removed from the mail list.
