After search results are returned, the system groups them into categories, as outlined by the red box below:
The grouping rules mirror the Advanced Search categories — Mail Date, Mail Flow, Mail Type, Encrypted/Signed mail, Sender, and Recipient — and each category breaks down into its own groups, as listed in the table below:
|
Category |
Description |
| Mail Date | Grouped by year first; click any year and the results break down further by month. |
| Mail Flow | Inbound, Outbound, and Internal. |
| Mail Type | Read-receipt requested, With attachment, Important, Attachment identified, Attachment encrypted, Not sent to supervisor, and Not sent to colleagues. |
| Sender | Grouped by each sender, ordered from most to fewest. |
| Recipient | Grouped by each recipient, ordered from most to fewest. |
| Keyword | When the query contains two or more keyword conditions, each one is broken out separately. |
When a category has more than 5 groups
If a category contains more than 5 groups (for example Mail Date, Sender, or Recipient), a ...more link appears under it. Click it to reveal another 30 groups; click again to show 30 more, and so on.
Example
If the Mail Date category covers 2001–2024, the results panel shows the first 5 by default.
Hiding classification results
You can hide unimportant categories to keep the screen free of distractions. Categories can be hidden one at a time or all at once. The examples below illustrate both approaches.
Example 1 — Hide a single category (Mail Date)
- Click the up/down arrow icon on the screen.
- The category is now hidden on screen.
Example 2 — Hide all categories
- Click the blue bar shown in the image below.
- All categories collapse and the middle pane gains more space for results.
- Click the red-boxed area in the image below to bring the hidden categories back.
You can also export the classification breakdown to a CSV file for administrators to use.
Exporting classification results
- Click the Export button next to Classified Results.
- A dialog reports the current export status and asks whether you want to go to the results list to download. You can choose not to switch over right away — keep working in the system and pick the file up from the export results list later.
-
Go to the results list and download the exported file.
Showing the Mail Flow Diagram
To the left of every sender or recipient link, there is a Mail Flow Diagram link (see the red box below). Clicking it builds a flow diagram from the current search results, with that sender or recipient as the focal point.
